Workspace AV solution installed across meeting rooms and event space in London

Onfido – leaders in identity verification technology partners with Tateside, a leading AV integrator in London, to level-up technology standards at their new workspace with a comprehensive meeting room audio visual system. Having already built a strong relationship following a project for their ‘all-hands’ space in 2017, Tateside was responsible for providing a turnkey AV solution for their new Hive events space and nine meeting rooms at the new offices, situated close to Liverpool Street in London.

“We were pleased to continue our collaboration with Onfido, part of the Entrust group, on this new project,” confirms Richard Day, Director at Tateside. “Entrust had specified a Microsoft Teams Rooms solution for the new Onfido meeting rooms, a versatile communal event space and integration with the wider fitout, such as the doors and other electronics.”

Onfido requested secure AV solutions with Microsoft Teams Room meeting environments to streamline scheduling and room usage. A security-conscious technology standard was required, limiting bring-your-own-device (BYOD) scenarios by providing simplified one-touch meeting join capabilities. Tateside were also asked to reuse various pieces of existing kit from previous workspaces to blend new and legacy technology within the upgraded system. Of course, reliability and scalability were also considerations.

In the larger meeting rooms, Tateside deployed the Neat video conferencing solutions, including Neat Bar Pro bundles with integrated camera and microphones for video conferencing via Microsoft Teams. Each room is also equipped with scheduling panels mounted outside the room, providing at-a-glance meeting information and room availability, and an on-desk Neat Pad controller. Smaller huddle rooms feature the Neat Bar Gen 2, with built-in scheduling and control from the single on-desk Neat Pad. These touchscreens allow users to join scheduled meetings with a single tap or by entering a meeting ID.

Seamless Integration: Secure AV Solutions and BYOD

To maintain Onfido’s strict security protocols, content sharing is disabled from personal devices in most of the rooms. However, BYOD functionality is enabled in the boardroom and events space to accommodate external presenters and enhance collaboration. In select meeting rooms, Onfido chose to reuse a portion of its existing display stock, allowing for a cost-efficient upgrade. These include 86” iiyama screens, which Tateside installed on adjustable brackets that can extend and retract, offering a clean yet functional design solution.

On the other hand, the boardroom fit-out had unique requirements. “We approached the boardroom differently, as we needed, once again, to reuse some existing kit, but integrate a professional audio system for conferencing,” explains Day. “We also supplied two new iiyama screens, in line with the standard across the other meeting rooms, as well as a Neat Pad scheduling display.” In addition, Tateside integrated a Shure audio system, including the MXA920 ceiling microphone, a P300 audio conferencing processor, and a Powersoft amplifier to drive three Bose Professional FS2 pendant loudspeakers, which were selected to complement the room’s light fittings. As a final touch, the ceiling microphone was custom-sprayed to match the room’s interiors. Hive Event Space — Hybrid Meeting Technology

The most technically demanding space at Onfido’s new premises is the Hive event space and communal area, designed to cater for all-hands meetings, team social activities and presentations. At the heart of the system is the Yealink video conferencing solution, the MVCS90 Microsoft Teams Room bundle, which includes dual 4K PTZ cameras with intelligent presenter tracking. This AI-powered system ensures remote participants stay visually connected to the presenter, even when joining a meeting remotely. Supporting the visual experience is a 7500-lumen Epson projector, paired with an existing 3.2-metre projector screen and ultra-short-throw lens.

Audio throughout the space is enterprise-grade. Sennheiser’s SpeechLine series offers both handheld and lapel microphones, with Dante-enabled connectivity for enterprise audio-over-IP solutions. These mics connect to a QSC Q-SYS Core 8 Flex processor, which manages audio routing and control with low latency. Amplification is handled by a Powersoft Mezzo amplifier, delivering power to six Bose Professional DesignMax pendant loudspeakers, located throughout the space for uniform audio coverage.

Control and content sharing are simple and designed with the everyday user in mind. The Q-SYS system interfaces with Yealink, providing centralised control of audio, video and environmental settings. Blustream’s HDBaseT extenders and wall plate transmitters handle the long-distance distribution of HDMI and control signals, allowing content to be shared cleanly from wall inputs or remote source displays to the projector.

“The integration of legacy kit with new technology standards, working around security restrictions and collaboration with other contractors’ requirements required us to adapt and problem solve,” explains Day. “But the outcome has been really positive. The user experience is greatly improved, with seamless workplace collaboration technology, one-touch meeting starts, high-quality audio and video in all spaces and a clean integration that is in line with the aesthetics of the Onfido brand.”
